Managing Director Shaun Kelly became interested in AI because of its potential to improve efficiency across the business. He saw opportunities to reduce time spent on routine tasks in areas like administration, marketing, and business development.
One of the biggest challenges was identifying which AI tools would provide real value. To build his understanding, Shaun invested in training and learned from businesses already using AI successfully. This helped him make informed decisions about which tools could best support the business.
After building his knowledge, Shaun began introducing AI across the business. He supported adoption by developing practical tools and encouraging managers to experiment with workflows. He created standard operating procedures and set clear expectations for how AI should be used.
Today, Absoloot Hostel QT uses a range of AI tools across different parts of the business. The team primarily uses ChatGPT, including custom GPTs for specific operational tasks and workflows. These tools help with everyday tasks like improving administrative processes, supporting business planning and analysing data. For marketing and design, the business uses Canva's AI-powered features. They also use Claude and Gemini where appropriate, depending on the task.
The business has also developed its own data analysis platform, with support from the Queenstown Lakes District Council Digital Catalyst Grant. The platform is helping improve data analysis and reporting, with plans to introduce AI-supported decision-making in the future.
Implementing AI has already delivered time and cost savings for management and contributed to better guest retention. Its reduced time spent on routine tasks, helping staff focus more on guests and other high-value work. The next step is broader adoption across the business. Like many small businesses, finding time to introduce new ways of working can be challenging.
Shaun's advice to other small businesses is to invest time in learning and use trusted sources to build understanding. It requires effort upfront, but he says the long-term benefit is greater efficiency and more time to focus on what matters most.
